Position: Temp Property Administrative Officer

Location: Head Office – Johannesburg

Reporting Line: Manager: Land Property Management and Holding

Ref: HDA TPAO001

Main Purpose:

To maintain the day-to-day billing, arrears management, administrative, and leasing services relating to HDA property portfolios in order to meet legislative requirements and support the unit with administrative support.

Key Performance Areas:

1. Unit Coordination and Liaison

  • Coordinate submission of monthly reports within the team and provide consolidated reports on the immovable property portfolio including reporting monthly and quarterly on property accounts and rental matters.
  • Assist and provide input into the development and review of unit policies and operating procedures.
  • Collate unit reports.
  • Arrange unit meetings, record, and minute meetings.
  • Assist in administering and maintaining the information for the unit dashboard and expenditure reports.

2. Rent and Rates Administration

  • Billing of tenants on a monthly basis in line with signed lease agreements.
  • Ensure that tenants pay their rentals on or before agreed timelines.
  • Ensure all municipal accounts are opened and paid timeously for all properties in the asset register.
  • Draft rent reconciliations for all leases in place in conjunction with Finance.

3. Lease and Property Finance Administration

  • Liaise with Finance to ensure appropriate and accurate financial reporting and budgeting.
  • General assistance with ad hoc requests from Finance and Auditors.

4. Document Management

  • Maintain the documents register and ensure the safekeeping and up-to-date records of all documents relevant to rental and accounts administration in the Land Property Management and Holding unit.
  • Maintain an up-to-date immovable asset register.

5. Administration & Support

  • Provide general administrative support to the unit manager.
  • Monitor and follow-up on all rent and municipal accounts administrative matters.
  • Coordinate logistical & administrative arrangements relating to leases, inspections, rent collections, and property levies.
  • Render an all-round administration service pertaining to management of land and property assets.

Qualification & Experience:

  • A National diploma or equivalent (minimum of NQF Level 6) in property or real estate, or asset management.
  • 1-2 years’ experience in the property or facility management environment.
  • Competent in MS Package (Word, Excel, PowerPoint, Outlook, and Project).
  • Code 8 (B) driver’s license or above is necessary and be able to travel extensively.

Remuneration Scale: R24 841.67 per month (all-inclusive package)
